Customer Payment Policy for Civic Integrated Solutions
This Customer Payment Policy applies to all customers of Civic Integrated Solutions Ltd. unless otherwise agreed in writing. The purpose of this policy is to clearly outline payment terms and expectations to ensure timely and transparent settlement of invoices.
Civic Integrated Solutions reserves the right to amend, update, or replace this Customer Payment Policy at any time. Any such amendments will be communicated to customer in writing and will apply from the effective date stated in revised policy.
Payment Terms: Payment terms are 30 days from date of invoice, unless otherwise agreed in writing by Civic Integrated Solutions Ltd. Customer internal procedures or delays do not alter the agreed payment terms.
Queries/Disputes: All queries or disputes should be raised in writing within 5 working days from receipt of invoice and sent to accounts@civic.ie. Both parties should endeavour to resolve any query or dispute within a further 5 working days.
Only the disputed portion of an invoice may be withheld pending resolution. All undisputed amounts remain payable in accordance with the standard payment terms.
Payment: Payments should be made by Electronic Bank Transfer (EFT) to Civic Integrated Solutions Ltd. nominated bank account. Any change of bank details will be notified to the customer by email. Customers must independently verify any such change by telephone using previously confirmed contact details prior to making payment.
Remittance advice must be sent in advance of payment to ensure correct allocation of funds.
Late Payments: Civic Integrated Solutions Ltd. operates a strict policy of paying to terms and will enact measures where there is non-adherence to these terms, including:-
Applying Interest and Penalties in accordance with European Communities (Late Payment in Commercial Transactions) Regulations 2012 – SI of 2012 and subsequent amendments’ which include interest of 8% above the current ECB rate and compensation between €40 - €100 based on the value of the outstanding amount (see links below to relevant legislative instruments)
Suspension of services until payment in full is received
Referral of the outstanding debt to a third-party debt collection agency
Initiation of legal proceedings where deemed necessary
Governing Law: This policy shall be governed by and construed in accordance with Irish law.
